Commercial Property Maintenance: A Practical Checklist

Commercial Property Maintenance: A Practical Checklist

Well-maintained premises are safer, more pleasant for staff and customers, and cheaper to look after in the long run. A small problem spotted early, such as a blocked gutter or a cracked tile, is far easier to deal with than water damage or a closed shop. This checklist is a starting point; your lease, insurer and specialist inspections may require more.

Outside the building

  • Gutters and downpipes: clear leaves and debris, especially in autumn, and check for leaks at joints
  • Roofs: look for slipped or missing slates and tiles, damaged flashings and ponding on flat roofs (use a qualified roofer for anything at height)
  • Walls: check for cracks, failed pointing, loose render and damp patches
  • Windows and doors: check frames, seals, locks and closers
  • Signage and shopfronts: make sure fixings are secure and paintwork is sound
  • Paths and yards: look for trip hazards, drainage problems and damaged surfaces

Inside the building

  • Look for signs of damp, leaks or staining on ceilings and walls
  • Check floors for damage and trip hazards, especially at thresholds
  • Make sure doors, including fire doors, close properly and are not wedged open
  • Repair damaged plaster, skirting and joinery before it gets worse
  • Keep kitchens and washrooms in good repair and well ventilated

Safety and compliance

Business premises have legal duties around fire safety, gas, electrics and, in some buildings, asbestos. Make sure the required inspections and tests are carried out by suitably qualified people, and that records are kept. Your fire risk assessment should be reviewed when layouts change.

Season by season

  • Spring: check for winter damage to roofs, walls and paths
  • Summer: a good time for external repairs and redecoration
  • Autumn: clear gutters and drains, and check heating
  • Winter: watch for leaks, condensation and frozen pipes

Planning work around your business

Maintenance and repairs can often be scheduled for quieter times, early mornings or closures. Planning ahead avoids emergency work at the worst moment.
